Privacy Policy
Summary
Closeout Pulse is software that helps home-services companies see where sales slip away. We collect what you type into our sign-up forms, what you need to sign in, and the pipeline data you choose to upload. Your pipeline data belongs to you. We keep each company's data separate, we use it only to run the service for you, and we never sell it or use it for advertising. We don't use advertising trackers. You can ask us for a copy of your data or to delete it at any time.
Who we are
Closeout Pulse is software at app.closeoutcall.co. Closeout Pulse is owned by Anima Mundi Mafia LLC. In this policy, "we" and "us" mean Anima Mundi Mafia LLC.
This policy covers our website, our sign-up forms, and the Closeout Pulse app. Pulse measures a pipeline. It does not call or text homeowners. Closeout Call homeowner interviews, if you buy them, are a separate service.
We do not publish a street address on this page. Write to us the way the contact section describes.
What we collect
When you sign up for a pilot
Our website forms ask for:
- your name, company, work email and phone number;
- your trade, number of locations and state;
- the CRM you use and how many estimates you write a month, if you tell us;
- the numbers you put into our calculator, if you use it;
- where you came from: the link's campaign tags and the page that referred you.
These forms are stored with our hosting provider, Netlify.
When you sign in
We use WorkOS to handle sign-in. It gives us your name, email, organization and role.
When you upload your pipeline
You can upload CSV exports from your CRM. These contain leads and estimates: the names you choose to include, dates, amounts, which rep had the lead, why it was lost, and notes. We call this "pipeline data".
We also keep a record of what happens in the app. Every change to a lead is saved as a new event, and every import and change is written to an audit log with who made it.
Technical information
Like any website, our hosting provider receives your IP address and browser details when you visit. Our pages load fonts from Google Fonts, which also receives your IP address.
How we use it
- To set up your pilot and your account.
- To contact you by email and phone about your account. You can ask us to stop.
- To run the service: read your pipeline, run your morning check and show your numbers.
- To keep the service secure, fix problems and keep records.
- To bill you once you're on a paid plan.
- To meet our legal obligations.
We do not sell personal information. We do not share it for advertising.
Your customers' data
Your pipeline data may name your own customers: homeowners, for example. For that data, you are in charge of it and we process it on your behalf. In privacy-law terms, you are the "controller" or "business" and we are your "processor" or "service provider".
- We use it only to provide Closeout Pulse to you.
- We never contact your customers.
- You must have the right to upload it. See our Terms.
- If one of your customers asks us about their data, we will send them to you.
If you need a data processing agreement, ask when you start the pilot. We do not publish a separate DPA on this page.
Aggregated data
We do not combine your pipeline data with other customers' data, and we do not publish industry benchmarks from it. It is used only for your account.
Who we share it with
We share information only with the companies that help us run the service, and only as much as they need:
- Netlify hosts our website and app, and stores our sign-up forms.
- Neon hosts our database, where your pipeline data lives.
- WorkOS handles sign-in.
- A payment processor handles billing. Anima Mundi Mafia LLC collects the fees. Payments are processed by a third-party processor. We never see or store your full card number.
- ntfy delivers optional phone alerts for the morning check, if you turn them on. The alert carries counts only, not names.
We may also share information if the law requires it, to protect our rights or someone's safety, or as part of selling or reorganizing our business. If that happens, this policy still applies to your information.
Cookies and trackers
We use one kind of cookie: a sign-in cookie that keeps you logged in. It can't be read by page scripts. The app also saves your last-seen numbers on your device so they show quickly. Signing out clears them.
We don't use advertising cookies, tracking pixels or third-party analytics.
How long we keep it
- While your account is active, we keep your account and pipeline data.
- When you cancel, you can ask us for an export of your data. We then delete the account and pipeline data. We will tell you the deletion date when you cancel, before we delete.
- Backups are the host's copies, not a second live account. Ask when you cancel and we will tell you how long those copies remain.
- Some records we must keep by law, such as billing records. We keep those only as long as required.
- Pilot sign-up details are kept so we can run the pilot and reply to you. You can ask us to delete them. If you do not become a customer, ask and we will delete them rather than keep them on an unpublished timetable.
Security
- The database itself keeps each company's data separate, using row-level security.
- Every change is saved as a new event and logged. History can't be quietly edited.
- Everything travels over HTTPS.
- Roles limit who can import, change settings, and open the leader scorecard. A signed-in member of your company can still read that company's pipeline. We do not yet limit a rep to only their own leads.
No system is perfectly secure. If a breach affects your data, we will tell you as the law requires.
Your choices and rights
- Ask for a copy of your information.
- Ask us to correct it.
- Ask us to delete it.
- Ask us to stop contacting you.
Email us from the work address on your pilot or account, or start at the pilot form. We reply in that thread. We may need to confirm who you are first. We do not publish a separate legal mailbox on this page.
If a privacy law gives you a right that is not listed above, use the same path and we will follow the rights that apply to you.
Texas residents
If you live in Texas and a Texas privacy law applies to your account, you can ask to access, correct, delete, or get a copy of your personal data, and you can ask us to look again at a request we denied. Use the contact path below. We are not stating on this page which Texas statute applies.
Children
Closeout Pulse is for businesses. It is not meant for anyone under 18, and we don't knowingly collect children's information.
Changes to this policy
If we change this policy, we will post the new version here and update the date at the top. If the change is significant, we will email account owners before it takes effect.
